Project Management – Introducing our Order Processing Department

In the latest blog post my colleague Janina gave you a better understanding of how the INDUSTRONIC Sales Department operates. With this week’s article we will take a closer look at the next steps along the order process.

As soon as an order is placed with INDUSTRONIC and contract review is finished the Sales Department hands over the project to our Project Management team. First, it is assigned to one of the project managers in the department. This person is the main contact relating to the project and coordinates all the tasks that are nessesary for a successfull delivery. The responsibility goes even further and includes payment monitoring and customer support during the warranty period.

Before an order confirmation is sent to the customer, possible issues regarding the delivery conditions and terms of payment have to be clarified. Most of the time, this involves tasks such as answering emails and taking care of any formalities. For technical questions the Project Engineering Department or in some cases even the product developers have to be consulted. To make sure that all components for a respective project are delivered in time, the coordination with the Purchasing Department is also important. Finally, after a production date is defined, the order confirmation can be sent.

In addition to that, the Project Management team is responsible for the organisation and supervision of factory acceptance tests with customers and partners. Depending on the size of the project, the number of participants and the duration can vary from one person that stays for just one day to a big group that is on site for the whole week.

When the delivery date is fixed, the project manager has to organize the packaging and shipping. Especially for goods that are shipped by vessel the requirements, such as seaworthy packaging, are very high. And of course, the whole customs clearance process has to be coordinated when it comes to international deliveries.

Aside from these complex projects, the Order Processing Department handles spare part deliveries as well as repair orders and is also responsible for the coordination of service orders.

As you can see, the tasks our Project Management team has to deal with every day are very wide-ranging.
